Communication & portals
The school’s voice, and the family’s window.
Four ecosystems run the school. This is the layer that carries what they know to the people outside the office - parents, students and teachers - through their own portal and through the channel they already use.
The problem it solves
A parent’s information should not depend on a group chat.
In most schools the truth about a child lives in the office, and reaches the family only when the family asks - or when forty parents in a group chat repeat a half-remembered version of a notice. The school then spends its mornings answering questions it already has the answers to.
Because the portals read the same records the office works from, there is nothing to publish and nothing to keep in step. Attendance marked in the register at 8:15 is in the parent’s portal at 8:15, and the receipt printed at the counter is the receipt they can download that evening.
Who gets what
Four audiences. One record underneath.
Each portal is a different view of the same school data, gated by role - so opening one to a group never quietly opens another.

Parent portal
Confidence comes from being told, not from asking.
A parent’s trust in a school is built out of small, timely facts: my child was in class, the fee is settled, the homework was handed in, the exam went like this. Each one is already in the system the moment it happens.
Every child on one login
The family is the record, not the individual student. One parent account covers every sibling - across sections, and across campuses in the same school - without switching logins.
Attendance as it is marked
Today’s attendance and the month’s pattern for each child, taken from the register the class teacher actually marked - not a summary typed up later.
The fee position, without asking
Outstanding balance and recent invoices per child, drawn from the same ledger the finance office works in - so a parent stops phoning the counter to find out what is due.
Switch between children in a click
The dashboard holds one child at a time and remembers which, so a parent with three children in three sections is not reading three portals.
A Talko report in plain English
A short per-child learning summary across reading fluency, grammar, comprehension, writing quality and pronunciation - written to be read by a parent, not decoded by one.
School notices that reach the right family
Announcements are scoped to a campus, a class or a section, so a parent sees what concerns their child and not the whole group’s traffic.
Student portal
Everything a student needs, behind one login.
The student portal is deliberately narrow: what is due, what was taught, what was marked, and the way into Talko. Nothing a child has to navigate around.
Homework, set and submitted
Students see what is due and hand work in through the portal. Submitting is a separate permission from viewing, so a school can open the portal without opening submissions.
Timetable and attendance
The week’s periods with subject, teacher and room, and their own attendance record beside it.
Digital books and resources
The textbooks adopted for their class and the resources their teachers have shared, in one place rather than in five chat threads.
Online assessments, AI checked
Formative, summative and diagnostic assessments taken in the portal, with one attempt per student enforced at every entry point and written feedback on subjective answers.
Leave requests
A leave application raised by the student and processed by the school, instead of a note that never arrives.
One step into Talko
Talko opens from the portal with the student already signed in - no second password, and no second user list for the school to maintain.
Teacher portal
Open it, and the day is already listed.
A teacher’s time is the scarcest resource in a school. Their portal is built around the next action rather than around the menu structure of the platform.
The day, not the system
A teacher’s dashboard opens on today’s periods in order, alongside the staff notices that matter - so the software starts with the day rather than with a menu.
A Talko snapshot on the home screen
Average class mastery, how many students are at risk, this week’s activity and how far each assignment has got - and if Talko is unavailable the widgets hide rather than taking the dashboard down with them.
Assessment attempts, answer by answer
Every attempt at an online assessment, with each answer, its verdict and the feedback recorded against the outcome it was testing.
Talko insights and drill-down
Per-skill mastery for the class, exportable as CSV, with a drill-down to one child’s full picture: skills, live activity and assignments.
Assign Talko lessons
Set a Talko lesson for a class or section with a due date and the outcome it serves, then see who opened it and who finished it.
Professional development
Teacher training material available in the same portal, so development sits beside the work rather than in a separate system.
Parent threads that belong to the school
Conversations with families run through the platform and stay with the school - which keeps a teacher’s personal number out of it.
Messaging Center
A conversation the school actually keeps.
Most school communication happens on personal phones, and leaves with the person who owns them. The Messaging Center puts every thread, notice and reminder inside the platform - attached to the student it concerns, and visible to the school.
Threaded, two-way conversations
Real threads between the school and a family, with separate parent and student channels, unread counts on both sides, and read receipts - not a one-way broadcast tool.
Announcements with an audience
Publish to a campus, a class or a section, or flag an announcement for every campus in the group, with a priority that decides how prominently it lands.
Fee reminders as a run, not a task
Select the defaulters, pick a template, preview the message each family will get, and dispatch the batch - with the voucher PDF attached if you want it attached.
Templates in your own language
Reusable message templates by category and language, with a default template nominated per event: fee invoice, collection, announcement and reminder.
A delivery log that answers the question
Per recipient: status, attempts, queued, sent, delivered and read timestamps, transit time, attachments and the error message if one came back. Failed batches retry without being retyped.
Class broadcast, still per family
Send to a whole class in one action; each family still receives their own message with their own child’s details, and the school still sees each delivery separately.
WhatsApp delivery
The channel families already read.
A portal a parent has to remember to open is only half a channel. Cyber Campus sends from the school’s own WhatsApp number, with the sending behaviour tuned so a large run looks like a school - because a number that gets blocked helps nobody.
Your number, connected once
The school links its own WhatsApp number by scanning a code. Connection status and the connected handset are visible on the settings screen, so nobody has to guess whether messaging is live.
Sent like a person, not a robot
Messages leave the queue with a randomised delay between a minimum and maximum you set, and the sender idles when there is nothing to do - which is what keeps a school’s number healthy through a thousand-voucher run.
Module priority you control
Fee invoices, receipts, announcements and reminders each carry a priority, so a bulk announcement never sits in front of the receipt a parent is waiting for.
Documents attached automatically
Fee invoices and payment receipts can attach their PDF, in the voucher layout and copy count your school prints - the same document, delivered rather than collected.
Test before you trust it
A test send confirms the connection end to end before a real batch goes out, and the connection can be dropped from the same screen.
Retry, don’t re-send
Everything that failed in a batch can be retried in one action, so a network problem on Tuesday does not turn into forty manual messages on Wednesday.
What this is not
There is no integrated payment gateway and no hosted checkout. Parents receive the voucher and the receipt; the money moves through your existing bank or counter, and the collection is recorded in Cyber Campus. “Online” exists as a payment method at the fee counter - a way of noting how a fee was paid, not a way of taking payment through the platform.
See how fees and collections workQuestions schools ask
Before you switch a parent body on.
Do parents need a separate app?
No. Parents sign in to their own portal in a browser, and the messages they care about - fee vouchers, receipts, notices and reminders - also arrive on WhatsApp. There is nothing to install.
Can a parent see all their children with one login?
Yes. The family is the parent record, so one login covers every sibling in the family, across sections and across campuses within the same school.
Can parents message teachers directly?
Yes, through a threaded conversation inside the platform, with separate parent and student channels. The school keeps the thread, so a conversation survives a staff change and nothing important lives in a personal phone.
How does the WhatsApp sending work?
The school connects its own WhatsApp number once. Messages are queued and sent with a randomised human-like delay, module by module in the priority order you set, so a large fee-reminder run does not put the number at risk.
Can parents pay fees through the portal?
Not today. There is no integrated payment gateway or hosted checkout. Parents receive the voucher and the receipt; payment happens through your existing bank or counter, and the collection is recorded in Cyber Campus.
What happens if a message fails to send?
Every message is logged per recipient with its status, attempt count, sent, delivered and read timestamps, and the error if there was one. Failed messages can be retried as a batch rather than re-sent by hand.
